Payroll Reconciliations and Review – Class Summary
Join us for an in‑depth, practical discussion on how to reconcile payroll from start to finish. This class is designed for payroll professionals, managers, and supervisors who want to strengthen their reconciliation skills and confidently explain payroll results to Finance and HR partners.
We will walk through the end‑to‑end payroll reconciliation process, including:
- Reconciling timecards to approved/signed‑off time records using various time and attendance reports
- Reconciling time data to payroll batches (sometimes referred to as Pay Data Entry)
- Reconciling payroll batches / pre‑check reports to the ACH file and final payroll register
- Reconciling the final payroll register to the bank statement
A key portion of this session focuses on understanding the Chart of Accounts (COA) that a payroll manager is responsible for. We will walk through reconciling payroll‑related accounts on a monthly, quarterly, and annual basis, including how payroll ties into the general ledger.
Participants will learn how to reconcile payroll across key account types:
- Assets
- Liabilities
- Expenses
We will also discuss how to effectively reconcile and manage complex and unique payroll plans, including:
- 401(k) plans
- Employee Stock Purchase Plans (ESPP)
- Stock plans (including 1/3 vesting scenarios)
- HSA and Flex plans (including handling excess balances)
- Hypothetical (HYPO) taxes
- Garnishments
- Nonqualified Deferred Compensation (NQDC) and SERP plans
- Self‑funded and non‑self‑funded benefit plans
To simplify reconciliations, the session will cover how to properly map earning, deduction, and tax codes so amounts flow into the correct accounting “buckets” and align cleanly with Finance expectations.
Finally, we will discuss the timing of reconciliations—what should be reconciled each payroll, monthly, quarterly, and annually—and how to establish a sustainable reconciliation routine.
By the end of this class, you will be able to clearly explain payroll reconciliations, confidently partner with HR and Finance, and truly sound like a payroll pro.
About our Speaker:

Robert Swingler is the Director of HRIS and Payroll for Superior Energy Services.
Robert Swingler has been with Superior for over 18 years; with over 25 years of payroll experience and was an integral part of several payroll system implementations.
Robert has been on many different projects ranging from acquisitions to remapping multiple general ledgers. Robert has his BA in Business Administration and is CPP Certified.
As the HRIS Director for Superior Energy Services, Robert makes sure that the many systems (HR/Payroll/Time/Onboarding/Recruiting/Tax/Reporting) and interfaces (some bi-directional) are running smoothly.
On a local level, Robert was on the Houston Chapter of the APA for 5 years with serving as Chapter President of the Houston Chapter in 2010.
On a state-wide level, Robert served as a Board member on the Texas Payroll Conference in 2011, 2012 & 2013
